IAEE Releases Best Practices for Priority Points System

Guidelines Examine Fair and Equitable Ways of Assigning Exhibit Space

The International Association of Exhibitions and Events™ (IAEE) has released its Exhibition Guidelines for Priority Points Systems to provide show organizers information on the various considerations taken into account, and methods used, for assigning exhibit space. These guidelines were established by the IAEE Priority Points Systems Task Force, comprised of association and independent exhibition organizers.

“Exhibition organizers have long expressed a need for best practices when it comes to assigning exhibit space,” said IAEE Vice President of Partnership Relations Rick Jennings, CEM and staff liaison to the IAEE Priority Points Systems Task Force. “These guidelines offer well-rounded detail of the options they may choose to use and the factors they will need to consider when making that choice.”

Exhibition Guidelines for Priority Points Systems addresses the various models by which space is assigned at exhibitions along with the advantages and disadvantages of each. It also looks at the process of assigning exhibit space for both association and independent organizers, including:

  • Ways to Earn Priority Points;
  • Forfeiture of Priority Points;
  • Mergers and Acquisitions;
  • How to Handle Ties in Points; and

IAEE, U.S. Department of Commerce International Trade Administration Sign Strategic Partnership to Bolster Exhibitions and Events Industry on International Level

The International Association of Exhibitions and Events™ (IAEE) and the U.S. Department of Commerce (USDOC) International Trade Administration (ITA) signed a Memorandum of Agreement (MOA) to expand the reach of the exhibitions and events industry both nationally and abroad. The common objective between these two organizations is to grow U.S. exports through U.S. companies’ participation in relevant and well-executed trade shows, trade missions and trade fairs.

“IAEE has been making incredible strides in its international growth this year,” noted IAEE President and CEO David DuBois, CMP, CAE, FASAE, CTA. “This partnership will continue to develop the significant influence that exhibitions and events have on the global business market, as well as provide IAEE members with valuable information.”

ITA strengthens the competitiveness of U.S. industry by promoting trade and investment, and ensuring fair trade through rigorous enforcement of U.S. trade laws and agreements. It works to improve the global business environment and help U.S. organizations compete at home and abroad. This strategic partnership will aid IAEE in its mission to provide stakeholders of the global exhibitions and events industry with information and resources that will advance the industry’s success.

The goals of this joint U.S. Trade and Investment Expansion partnership are to increase awareness of the economic benefits of trade; educate the public on trade activities as a job creation and growth strategy; create general awareness of ITA and other U.S. Government resources; and encourage U.S. businesses interested in exporting and foreign businesses interested in investing in the United States to seek the assistance of ITA.

“ITA has a long history of promoting exports through trade shows, both internationally and here in the U.S., through our International Buyer and Trade Fair Certification programs,” said Marcus Jadotte, Assistant Secretary of Commerce for Industry and Analysis.  “Our partnership with IAEE will enhance our efforts to provide U.S. companies with the best information about export opportunities and will also improve access to tools to export even more successfully.”

Collaboration between IAEE and ITA will include cross-promotion of selected trade missions and trade shows; development of metrics to track the sales and successes associated with trade shows; training for ITA’s sector and global teams; and co-development and promotion of ITA’s Top Markets reports and other products of relevance to IAEE’s members. IAEE joins several of ITA’s Strategic Partners, its network of organizations whose selection is typically based on their long-term working relationship and mutual interest in collaborating to achieve common objectives.

IAEE MATSO Council May Meeting Yields Insight and Opportunity Attendees Address Old Challenges with New Ideas

The International Association of Exhibitions and Events™ (IAEE) MATSO Council celebrates a successful MATSO Spring Program, held on 23-24 May 2016 at McCormick Place in Chicago, Ill.

“Our goal was to define a challenge that the IAEE MATSO Council can address, and we far exceeded that objective at this year’s event,” said 2016 MATSO Chairperson Angela Harar, CEM and Senior Director of Trade Shows for The Vision Council. “Shows with at least 200,000 net square feet present very specific challenges and concerns for its organizers, and the opportunity to address these topics in such a collaborative environment is exactly the type of feedback the council was looking for.”

The MATSO Spring Program included an update on future trends impacting the exhibitions and events industry, presented by Francis Friedman, President of Time & Place Strategies, Inc. Friedman outlined the major economic factors impacting the industry, as well as the current and future trends that will define how exhibitions and events will evolve over the next three years.

Another major component of the meeting was MATSO’s first Idea Exchange, in which attendees shared information and ideas about the challenges, best practices and changing landscapes of Tier 1 cities. Group discussion revealed two main areas of focus: Attendee Engagement and Business of the Event.

In addition to an overall examination of the topics, attendees broke into smaller groups to explore each subject in more detail. Discussions revealed interest in developing the following initiatives:

  • Activating the collective voice of the MATSO community to inform members and represent the interest of large show needs;
  • Defining the role of data collection and its impact on all aspects of organizing major trade shows;
  • Exhibitor ROI  and how mapping ROI will grow in importance; and
  • Challenging the current trade show model.

Stay tuned to the MATSO website for upcoming details about the MATSO Forum at Expo! Expo! IAEE’s Annual Meeting & Exhibition to be held 6-8 December 2016 in Anaheim, Calif.

The council provides a non-competitive environment for open discussion amongst members and focuses on all functional aspects of large show production based on a foundation of confidentiality and trust. Visit the MATSO website for more information.

IAEE MATSO Council Announces City Working Group Initiative, Finalizes Governance Procedures

The International Association of Exhibitions and Events™ (IAEE) MATSO Council announced it will resurrect city task force updates following a recent council meeting that focused on future programming and governance procedures.

A city working group was created so members may relay first-hand knowledge on how multiple MATSO shows interface with specific Tier One cities on topics including but not limited to expansions/renovations, challenges and opportunities related to labor, food and beverage and technology.  A task force of members will report on and discuss the issues relevant for each city chosen.  Led by MATSO Council members, Kelly Kilga, CEM, Director of Operations with the Graphics Arts Show Company Inc. and Justine McVaney, Senior Vice President of Event Planning and Operations with the National Association of Broadcasters (NAB) with member-at-large, John Catalano, Group Show Director with the Society of Manufacturing Engineers (SME), the working group has developed a one hour session for the 23-24 May meeting which is open to all MATSO members. City task force updates have been a popular agenda item from past MATSO meetings and was ranked highly in a member survey of goals for MATSO.

“Results from a recent MATSO survey show that members wish to receive updates from fellow members about current trends, issues and challenges affecting the major city/cities their show is held in,” said 2016 MATSO Chairperson Angela Harar, CEM and Senior Director of Trade Shows for The Vision Council.  “When MATSO events work together to address issues, we can make a positive impact not only for large shows, but all shows.

During the meeting, the Council also made updates to membership qualifications.  In addition to show organizers who own or produce exhibitions and events of 200,000 net square feet or more, the following groups are encouraged to participate under the following criteria:

  • Co-located exhibitions and events qualify if their total NSF equals at least 200,000 and the event participating in MATSO is at least 100,000 NSF of that 200,000
  • Annual, Biennial, Triennial (and more) exhibitions and events qualify as long as they meet the minimum NSF
  • Event/Services and Management Companies qualify if the representative to participate in MATSO performs one or more of the management aspects of the show including operations/show director/management; floor management/logistics and/or exhibit sales

The Council voted to specify that agencies (Marketing), Registration and Housing Companies as well as vendors and suppliers do not qualify.  This is in order for MATSO to retain one of its initial fundamentals to provide a wide-open exchange of ideas and solutions in a competition-free environment.

The group reviewed and came to a consensus about the nominating process and term limits, succession plan and responsibilities by position documents.  The nomination process to add members to the MATSO Council will begin on 15 August with a 30 September deadline and recommendations made by mid-October.  Interested parties who wish to serve on the MATSO Council can complete the interest form.

The Council also announced the selection of Kelly Kilga as its 2016 Vice Chairperson, who received a unanimous vote in favor by council members.  This is a new position in the Council, which serves as an advocate for the Major American Trade Show Organizer (MATSO).

“I am pleased that Kelly has accepted the Vice Chair nomination to the MATSO Council,” said Harar. “Her experience and enthusiasm for the programs we are developing is an integral contribution to the efforts the Council is embarking upon this year and beyond.”

“The collaboration between MACEOS and the Malaysian Convention and Exhibition Bureau (MYCEB) shows a strong commitment to the development of exhibitions and events in Southeast Asia,” said IAEE President David DuBois, CMP, CAE, FASAE, CTA. “We are honored to be a part of this burgeoning segment of the global exhibitions and events industry.”

MACEOS was established in 1990 to serve the meetings, incentives, conventions and exhibitions (MICE) industry in Malaysia. Its 84 member companies represent exhibition and event organizers as well as industry suppliers. In 2009, the MYCEB was established by the Ministry of Tourism and Culture to position Malaysia as a leading business events destination which helps to further strengthen MACEOS’ mission.

MACEOS Chief Executive Officer Amos Wong said, “We are very pleased and honoured by establishing this reciprocity agreement with IAEE, an association known for their quality training and educational practices, and where MACEOS members can benefit in their upskilling process for the coming years.”

The agreement between IAEE and MACEOS will extend reciprocal membership benefits to the respective members of both organizations, including:

Member pricing for all products, services, meetings, and events that are offered by MACEOS and IAEE;
Recognition of the respective professional designations that may be offered by the organizations, wherever possible and practical, to applicants for the purpose of recertification;
The sharing of research data and information that is relevant and not proprietary;
The creation of jointly sponsored activities and events that will encourage interaction between the members of each organization; and
